If the Available formats area is empty, the column is not the underlying problem. The selected entry is an empty record or its files are attached to another record. Continue to Section 3.
1.2 Check the Book Details Panel
Select the same book and look at the Book details panel, normally displayed beside or below the book list depending on your layout. If it is hidden, use the Layout control near the lower-right area of the main window to show Book details.
The panel can display links for the formats attached to the current record. Its contents can also be customized under Preferences > Interface > Look & feel > Book details. If formats appear here but no Formats column exists in the main list, calibre is reading the library correctly. You only need to add or reveal a book-list column.
Stop changing settings if Available formats and Book details both show the expected files. Device detection, conversion settings, email accounts, the Content server, and the e-book viewer cannot repair a missing book-list column.
2. Add or Restore the Formats Column
calibre has built-in format information, but displaying that information in the book list is commonly handled through a custom column. The safest option is calibre’s Formats quick-create choice, where available.
2.1 Create a Formats Column With the Quick-Create Option
- Open Preferences.
- Go to Interface > Add your own columns. Depending on the interface layout, the wording may appear simply as Add your own columns.
- Click the button for adding a custom column.
- Use the Formats quick-create option if it is offered.

The generated column is a composite or virtual column. It displays information derived from calibre’s library database rather than storing a second, manually maintained list. You should not type EPUB or MOBI into each row yourself.

If the quick-create option is unavailable or you are checking an existing custom column, create a column whose type is Column built from other columns. Use this template:

The template asks calibre for the formats attached to each book record. Choose a simple heading such as Formats and a unique lookup name. calibre normally adds the required custom-column prefix to its lookup name.
Do not create an ordinary free-text column for this purpose. A text column will not update automatically after conversion, format removal, or the addition of another file. A composite column based on {formats} should reflect the current library state.
2.3 Reveal a Hidden or Narrow Column
If you already created the column, inspect the header row carefully. The column may have been moved to the far right, reduced to a very small width, or hidden through the column-header menu.
- Scroll horizontally across the book list.
- Right-click a column heading and look for the Formats column in the visibility choices.

- Drag its header to a convenient position.

Each normal book row represents a metadata record, not necessarily one physical file. If you convert an EPUB to AZW3, calibre usually stores the output beside the EPUB under the same record. The Formats column should then report both formats.
Conversion does not create a valid output merely because a format name was selected. Check the Jobs area after conversion. If the job failed, no usable output format may have been added. Open the job details to read the error before attempting another conversion.
Do not create an empty file just to make a format name appear. A placeholder may cause the column to report that format even though the record does not contain a readable e-book.

A common source of confusing values is having one row for the EPUB and another row for the MOBI or AZW3 version of the same title. Each row then reports only its own attached format.
To consolidate them:
- Confirm that the records genuinely represent the same book and edition.

- Use the Merge book records command available from the Edit metadata actions or context menu.
- Choose the merge behavior carefully, preserving the formats and preferred metadata.
- Inspect Available formats on the surviving record.
Merge first, verify second, and remove redundant records only after confirming that the surviving record contains every required file. Simply deleting a duplicate row can permanently remove the only copy of a format stored in that record.

3.4 Do Not Confuse Downloaded Metadata With Stored Formats
Metadata downloading can update fields such as title, author, identifiers, tags, comments, or covers. It does not download every retail format of the book and does not prove that an EPUB, MOBI, or AZW3 file is stored in your calibre library.
Likewise, a cover and complete description can exist on an empty book record. Use Available formats, not metadata completeness, to determine whether the record contains an e-book file.
4. Search and Filter the Library by Format
Searching is a quick way to test calibre’s database independently of your custom column. Enter format searches in the main search bar.

A Virtual library limits which records are displayed. It does not normally remove formats from the underlying books, but it can make you inspect the wrong subset or assume that a duplicate record has disappeared.
Return temporarily to the full library, clear the search bar, and select the title again. Also confirm the current library name. Users with several calibre libraries sometimes create a Formats column in one library while viewing a similarly named book in another.

If calibre reports formats that cannot be opened, or files are present in book folders but absent from records, use Library > Library maintenance > Check library. Review the report instead of automatically deleting everything it identifies.
Back up the library before performing repairs. Database restoration is a recovery measure for genuine corruption, not a normal fix for a hidden column. Restoring a database can discard some library-level configuration that is not recoverable from per-book metadata backups.
